Service 01

Customs Declarations

Who this is for: Importers who need an authorised broker to prepare and submit the Single Administrative Document (SAD) for goods entering Poland or the EU.

We classify your goods under the correct HS code, calculate applicable duties and VAT, prepare the declaration, and file it with the relevant customs office. We communicate with customs officers directly and handle any queries that arise during clearance.

This is the core of what a customs broker does. The difference is that we also handle the back-and-forth with your Chinese supplier when something in the paperwork needs to change.

What a typical engagement includes:
  • HS code classification (or verification of your supplier's classification)
  • SAD preparation and electronic filing
  • Customs duty and VAT calculation
  • Liaison with the customs office during clearance
  • Release confirmation and documentation copy for your records
Scope note: We file under Polish customs law. For shipments clearing through other EU member states, we can advise but you'll need a broker licensed in that country for the actual filing.
Service 02

Document Compliance Review

Who this is for: Importers who want to verify that the paperwork from their Chinese supplier is correct before goods depart — or before an existing declaration runs into a problem.

The commercial invoice, packing list, bill of lading, and any product certificates need to be consistent with each other and with what is actually being shipped. Errors in declared value, incorrect HS codes, mismatched product descriptions, or missing certificates of conformity are the most common causes of delays.

We check each document against the others and against Polish customs requirements. Where we find problems, we contact the supplier directly in Mandarin to request corrections.

What we check:
  • Commercial invoice: declared value, currency, terms of sale (Incoterms), parties
  • Packing list: consistency with invoice quantities and weights
  • Bill of lading or airway bill: consignee details, description of goods
  • CE, REACH, or other product certificates where applicable
  • Country of origin documentation for preferential tariff purposes
Scope note: Document review is a pre-clearance service. It reduces risk but does not guarantee customs will not request additional information or conduct an inspection — that decision rests with the customs authority.
Service 03

Supplier Communication in Mandarin

Who this is for: Importers who lose time or accuracy when communicating with Chinese suppliers through translation tools, intermediaries, or English that the supplier's team doesn't fully follow.

Our partner Yun handles direct communication with suppliers in Mandarin — to request missing documents, clarify product specifications, negotiate reissue of an incorrect invoice, or resolve a discrepancy before it becomes a customs problem.

This is typically faster than any alternative. A correction that takes four days over email can often be resolved in one direct phone call. It also reduces the risk of the correction being wrong because of a misunderstanding in translation.

Common reasons we contact your supplier:
  • Request for a corrected or reissued commercial invoice
  • Clarification of product description or HS code used
  • Missing certificate or conformity document
  • Packaging or labelling specification changes for EU compliance
  • Confirmation of declared value for undervalued shipments
Scope note: We communicate on your behalf but do not make commitments to your supplier without your authorisation. We relay responses back to you in English or Polish as you prefer.
Service 04

Regulatory Consulting

Who this is for: Importers who are about to order a product category they haven't imported before and need to understand the regulatory requirements before placing the order.

Certain product categories require conformity marking, import licenses, or specific certifications before they can legally be sold in the EU. Discovering this after the goods have shipped is expensive. We can advise before you commit to a supplier or order quantity.

This is not legal advice — it's practical guidance based on our experience with common product categories and Polish customs practice. For complex or borderline cases, we will tell you when you need a formal legal opinion.

What a consulting engagement covers:
  • Does your product require CE marking? Which directive applies?
  • REACH compliance requirements for chemical substances
  • Import license requirements for specific categories
  • Anti-dumping duty applicability for certain Chinese-origin goods
  • What documentation to request from your Chinese supplier at the order stage
